LAN Terms & Rules
Last updated September 28, 2026.
These terms cover the Evergreen Cup Grand Finals LAN at Dumas Bay Centre, 3200 SW Dash Point Rd, Federal Way, WA 98023, from Saturday October 24 through Sunday October 25, 2026. They apply to everyone on the premises for the event: players, staff, spectators, and anyone's +1.
The LAN is an optional, in-person event that is separate from the tournament. You can play Evergreen Cup without ever attending, and you can attend without ever playing. These terms sit on top of the site Terms of Service, the tournament rules, the osu! community rules, and the venue's own house rules. Where they disagree, the strictest one applies.
Acceptance
The LAN signup form and attendance is restricted to those with osu! accounts, except for emergency contacts who wish to attend alongside someone with an osu! account.
Submitting the LAN signup form means you have read and agree to this page and the LAN privacy notice.
Organisers may refuse entry to, or remove, anyone who breaks these rules.
Door admission is paid to the venue and is not refundable by us. Room fees are refunded only if the venue refunds them to us.
Check-in and access
- Check in at the front desk the first time you enter the building. The venue tracks who is inside.
- Stay out of areas the venue marks as restricted or reserved for other guests.
- Respect the venue's quiet hours in the overnight rooms. It is a working conference centre with other guests.
- Door admission for anyone without a room is $10 per day, paid to the venue at check-in. Room holders are exempt.
- Room check-in is at 3pm, and check-out is by 11am.
Prohibited items
- Weapons and anything usable as one: firearms, knives and other cutting instruments, handcuffs, pepper spray, bats, golf clubs, rackets.
- Dangerous materials: anything with a risk of ignition, explosion, or toxic gas. Fireworks. Bulk lighters or matches.
- Illegal drugs and controlled substances.
- Alcohol if you are under 21. No exceptions.
- Outside food and drink in the LAN room (Eagleview) other than water. Personal snacks and drinks may be kept in a reserved overnight room.
- Water guns, sprayers, and anything that disperses gas, liquid, or powder.
- Megaphones, air horns, and other noise devices.
- Skates, skateboards, scooters, bicycles indoors, and anything else that blocks a corridor.
- Animals, except service animals, and plant seeds.
Prohibited acts
- Endangering anyone: violence, threats, reckless behaviour.
- Harassment, or conduct that severely disturbs other people. The tournament conduct rules apply in person exactly as they do online.
- Theft, and damaging or defacing venue property or anyone else's belongings.
- Entering restricted areas of the venue.
- Fire-safety hazards: tampering with alarms or extinguishers, open flames, blocking exits.
- Smoking or vaping anywhere on the grounds.
- Spraying or sprinkling gases, liquids, or powders.
- Littering, or leaving waste anywhere other than a designated bin.
- Solicitation of donations or sales without organiser approval.
- Disturbing plants, insects, or wildlife, or planting anything on the grounds.
Personal responsibility
- Medication and medical needs. You are responsible for your own. Tell us about allergies and dietary restrictions on the signup form so the venue can accommodate them at dinner; we cannot store or administer anything for you.
- Property. Lock your room. Keep your gear with you or with someone you trust. Staff are on site around the clock, but we cannot guarantee against theft, loss, or damage and are not liable for it.
- Admission. Door admission is between you and the venue.
- Travel. Getting to and from Federal Way is separate from these terms.
Photography and recording
Expect to be photographed and filmed. EGC media staff shoot the weekend for the stream, social media, and the recap, and other attendees will have cameras too.
You can decline. If you do not want to be in a specific photo or clip, tell the photographer or any staff member at the time and they will respect it. We cannot un-take a photo you did not object to, so speak up early.
For everyone with a camera, we use the same rules as Kumoricon:
- It is prohibited to photograph or record anyone who asks you not to, or who shows by their body language that they do not want to be photographed.
- It is prohibited to photograph or record anyone where a reasonable person would know the subject would probably not want to be photographed under the circumstances.
- No photography or recording where the event host asks you not to, where a sign prohibits it, or inside the overnight rooms.
- Be polite with your camera. Ask first when in doubt.
Signing up includes acknowledging this section. There is no separate opt-out flag; declining happens in person, shot by shot.
Rooms and payment
- Overnight rooms are $100 flat per room regardless of room type and are available for Saturday night only.
- Room requests will be locked at 11:59pm Sunday, October 4 2026 and additional requests cannot be made.
- Payments for rooms will be accepted after requests are locked and once the venue confirms room availability. Payments shall be made to Varler by Saturday, October 10, 2026 or earlier. Reserved rooms that remain unpaid after this date are forfeited and released to the waitlist.
- Rooms requests are prioritized in order of: EGC staff, then EGC players, then all other attendees. Requests within each group are prioritized by signup order (first-come-first-serve). A room request does not guarantee a room until it is confirmed on your dashboard. Requests will be confirmed/denied by or before October 6, 2026.
- Two-bed rooms require both occupants' names to be on the signup list. Attendees can do this by linking separate requests together via the code in the signup form. Attendees who indicate they plan to attend with an emergency contact can provide that person's name in the signup form regardless if the person has an osu! account.
- We are not a payment processor. All payments are manual, person to person, and recorded by the organisers.
Liability
You attend at your own risk. Evergreen Cup is run by volunteers. To the extent the law allows, the organisers are not liable for injury, illness, loss, or damage arising from the event, except where caused by our own negligence.
Changes
We may update these terms before the event if the venue changes something on us. Material changes will be reflected here with an updated date at the top of the page and announced on Discord.
